Only a registered employer files a wage declaration. The tool works out the figures below either way.

What are you actually declaring?
In the simplified procedure you declare, for each person you employ, the gross wage total for the year and the period they worked for you. From that the compensation office charges AHV/IV/EO, ALV, family allowances, accident insurance where it applies, and the source tax, and sends you the invoice. So the wage total is the number that matters. This tool shows the contributions too, so you can check the invoice before it arrives.
By when, and how?
By 30 January for the year that just ended, most easily through your compensation office's online portal, otherwise on paper. The office then issues an invoice payable within 30 days. Missing these deadlines risks late-payment interest and exclusion from the simplified procedure. If the employment ends during the year, report the exit to the office and still include the wage in the annual declaration.
Common questions about the wage declaration
- She only worked for me for a few months. Do I still have to declare?
- Yes. You declare the wage for the months you paid it, with the matching period. Enter only those months in the tool; the period on the declaration follows from them.
- Do I file online or on paper?
- Compensation offices take the wage declaration through their online portal or on paper. In Bern the ePortal is the norm and paper only comes on request. In Valais the declaration goes by post. The tool shows your office's channels as soon as you pick the canton.
- What happens if I miss the deadline?
- The wage total is due by 30 January, and the office's invoice must then be paid within 30 days. Missing these deadlines risks late-payment interest and exclusion from the simplified procedure.
- Do I also need a salary certificate (Lohnausweis)?
- After your wage declaration, the compensation office sends the employee a confirmation of the source tax deducted, without being asked. Whether you must also issue a Lohnausweis depends on the canton: under the simplified procedure most offices say no, Neuchâtel still recommends one, and Schaffhausen needs a separate one for family allowances.
- And if the employment was never registered?
- Then there is nothing to declare yet: you first register the employment with the compensation office, retroactively if need be. The office can claim contributions for up to five years back. Pick "No" at the top and the tool shows what would be owed for the chosen year.
