The 5% withholding tax is the flat-rate tax of the simplified procedure and applies to all employees, Swiss and foreign alike. It fully settles the income tax on this wage.

The payslip is ready. What now?

A payslip does not belong in your archive first. It belongs in her hands.

  1. 1Hand one over every month: your household employee is entitled to a payslip for every wage payment (Art. 323b CO). Paper or PDF does not matter, receiving it does.
  2. 2Send it with the payment: the payslip and the transfer belong together. If you only settle up at year end you cannot evidence the deductions in a dispute.
  3. 3Keep a copy for five years: keep every payslip until five years after the last working day. Wage claims can be raised for that long (Art. 128 CO) and the compensation office asks for them during checks.
  4. 4Collect them for the annual return: early in the year you report the previous year's wages to the compensation office, and the twelve payslips are your basis. In the ordinary procedure you also build the salary certificate from them.

Mandatory details

Both names, the accounting month, gross wage, holiday supplement, every single deduction (AHV/IV/EO, ALV, NBU, plus withholding tax and BVG where they apply) and the net amount paid.

Most common mistake

Transferring the net amount and never issuing a payslip. Your employee cannot check the deductions, and during an inspection you cannot show that you passed them on.

Every deduction on its own line

On the employer side the same AHV/IV/EO and ALV contributions apply, plus occupational accident insurance (UVG-BU, 0.505 % at the VAVplus rate) and family allowances (FAK, varies by canton). The simplified billing procedure

Private households can use the simplified procedure as long as each wage stays at or below CHF 22'680 a year and all wages together at or below CHF 60'480. This means:

Lump-sum billing: You report the wages to the cantonal compensation office once a year. It bills AHV/IV/EO, ALV, family allowances and withholding tax on one invoice. Accident insurance (UVG) is separate: a policy of your own or, if you expressly choose it when registering, VAVplus.

Withholding tax of 5 %: In the simplified procedure the withholding tax is 5 % for every employee, with a Swiss passport or without. It is final and replaces ordinary income tax on this wage.

Nothing to declare again: Your employee does not declare this wage in her ordinary tax return. That is why you issue no salary certificate; the compensation office sends her a statement of the withholding tax settled.

Common payslip mistakes

1.

Holiday supplement on a fixed schedule

If your employee works regular, fixed hours, she takes her holidays as paid weeks off. Paying holiday pay as a supplement on every monthly wage instead is only allowed for irregular work (BGer 4A_357/2022), and then it must be shown separately on every payslip.

Treating net pay as gross pay

If you agreed on a net wage, you must first calculate back to the gross wage. The generator handles both.

Not deducting NBU

From 8 hours a week with the same employer, your employee is also insured against non-occupational accidents, and the premium is usually hers: 1.432 % of the wage with VAVplus, or your own policy's rate.

No payslip provided

Your employee is entitled to a written payslip with every wage payment (Art. 323b CO). Tip: email it as a PDF straight from the generator.

Frequently Asked Questions

Do I need to create a payslip as a private employer?▾
Yes. Even as a private household, you are required to provide your domestic worker with a monthly payslip.
How do I calculate the holiday supplement?▾
Holiday pay is only paid as a supplement on the base wage for irregular work: 8.33 % for 4 weeks, 10.64 % for 5 weeks, 13.04 % for 6 weeks. On a fixed schedule your employee takes paid holidays instead of a supplement. Until the 20th birthday at least 5 weeks apply; from 50, many cantonal NAV add a fifth week, some only after several years of service.
Can I create the payslip myself?▾

Are the contribution rates in this tool up to date?▾
Yes. The generator uses the 2026 rates: AHV/IV/EO and ALV from the BSV tables, NBU and BU at the VAVplus tariff, family allowances by canton. Sources: bsv.admin.ch and suva.ch.
Does the payslip have to be signed?▾
No. A payslip is a statement, not an agreement, so no signature is required. If you want proof that it was handed over, a short confirmation by e-mail or WhatsApp is enough. Signatures are required on the employment contract and the termination letter, not on the monthly payslip.
How long do I have to keep payslips?▾
At least five years beyond the last working day: that is how long wage claims from the employment can be raised (Art. 128 CO) and how far back the compensation office checks the AHV accounting.
